In short

We collect only what's needed to run your account: email, display name, and optional profile picture.

Messages, photos, files and GIFs are available to members with access to their channel or conversation. No ads or tracking services. If you paste a GIF link, our server downloads it for you, so the GIF's website does not see who views it.

You can ask for a copy of your data or have it deleted using the form at the bottom.

1. Who we are

TheGuildChat is a private, invite-only chat platform operated in the United States by its Platform Creator ("we", "us"). This policy explains what information we handle and your choices.

2. What we collect

  • Account details: email address, display name, password (stored only as a secure hash by our sign-in provider), and two-step sign-in settings.
  • Profile details you choose to add: picture, banner, bio, status, and accent color.
  • Messages and spaces: messages, server, section and channel names. Access to messages follows channel and conversation membership. The platform administrator can see server and channel names for moderation.
  • Files: uploads are shared with people who have access to that channel or conversation.
  • Basic activity records: sign-in times, approvals, and admin actions, kept for security.

3. How access works

Only approved, signed-in people can use the app. Server membership and channel permissions determine what members can see. Voice calls connect directly between participants. We do not sell or rent your data, and we use no advertising or tracking services.

4. Who else can see your information

  • Other approved members see your display name, picture, status and bio — never your email.
  • Members of a channel can read messages in that channel.
  • The Platform Creator can see your email and account status to approve and manage accounts.
  • Our hosting provider stores the data on our behalf.
  • We may disclose information if required by valid U.S. law or court order.

5. Cookies and local storage

We use only the storage your browser needs to keep you signed in and remember settings like your last server. No tracking cookies. Signing out clears locally cached messages from the device.

6. How long we keep data

We keep your account until you or the Platform Creator delete it. Deleting an account removes your profile and memberships; old messages may remain in their channels as "Former member".

7. Forgotten passwords

Resetting a forgotten password never affects your messages.

8. Children

TheGuildChat is not for children under 13, and we do not knowingly collect their information. If you believe a child under 13 has an account, send a request below and we'll remove it.

9. Your rights

Depending on where you live (for example California under the CCPA/CPRA, or other U.S. states), you may have the right to know, access, correct, or delete your personal information, and to not be discriminated against for using these rights. We honor these requests for everyone. We do not sell or share personal information for advertising.

10. Security

We use optional two-step sign-in and strict access rules. No system is perfectly secure; please use a strong, unique password.

11. Changes

We'll update the date above when this policy changes. Big changes will be announced in the app.

12. Make a request

Send a request directly to the Platform Creator. No email is needed. For account deletion, include your display name so we can find you. See also our Terms of Use.
